From inquiry to booking: what happens at each stage

What an inquiry commits you to, how the clinic records its medical decision, and what your booking status means at each point.

3 min read

Sending an inquiry does not book anything and does not commit you to treatment. Under the Booking & Deposit Terms an inquiry is a request for information. It creates no obligation for you, and it creates none for the clinic either.

What follows is not a fixed sequence with a fixed number of steps. It is a set of recorded states: the clinic's decision about whether it can treat you, and the state of the booking itself. Both are visible to you, and both are defined in the Booking & Deposit Terms.

The clinic decides, not GetClinic

The clinic decides whether it can treat you. GetClinic does not approve or reject anyone medically.

GetClinic does not assess your case, does not rank your suitability and does not tell a clinic whether to accept you. It carries your information to the clinics you engage and records what the clinic decides. See how your clinic decides whether it can treat you.

Nothing here means a clinic will accept you. GetClinic does not promise that any clinic will.

What the clinic looks at

The clinic sets its own requirements for what it needs to review. It may ask for medical history, photographs, scans, lab results, information about medicines you take, previous procedures, a consultation, or a physical examination. Which of those it asks for is the clinic's decision.

What happens to anything you upload, and what a clinic receives at which point, is set out in how your health information is shared with clinics.

The four medical approval statuses

Your case carries one of four published medical approval statuses, and the clinic sets it.

StatusWhat it means
Pending ReviewThe clinic has not completed its medical review
Conditionally ApprovedThe clinic is willing to proceed subject to identified conditions, further information, testing, consultation or examination
ApprovedThe clinic has approved you to proceed based on the information then available
Not ApprovedThe clinic has determined that the proposed treatment should not proceed

An approval given remotely is not necessarily final clinical clearance. A clinic may examine you in person and reach a different conclusion, and it is entitled to. If a clinic decides before treatment that you cannot safely receive it, the unused deposit is refunded in full. See cancellation and refunds.

The full definitions of each status are in the Booking & Deposit Terms.

The three booking statuses

The booking itself carries one of three statuses, and this is separate from the medical decision above.

StatusIn practice
ProvisionalA booking has been recorded but is not yet firm.
ConfirmedThe booking is firm on the terms you accepted.
CancelledThe booking is no longer live.

A booking can be Provisional while medical approval is still Pending Review. The two states move independently, which is why they are recorded separately.

When a deposit comes into it

A deposit belongs to a specific clinic booking. It exists only where a clinic has issued or approved an offer and independently requires a deposit against it. GetClinic does not set the deposit, and it makes no separate charge to you for access to the marketplace.

A deposit can be taken while the clinic's review is still pending, but only in the limited circumstances the Booking & Deposit Terms set out. While the clinic's acceptance is still pending, that deposit stays fully refundable. If acceptance first happens inside the 72 hours before your scheduled treatment start, it stays fully refundable until you affirmatively reconfirm after receiving the final terms.

What you should see before you pay

Checkout is not free-form. Before you pay, it has to identify who is being paid, who is processing the payment, which route the payment travels by and what effect it has on what you owe. Those can be different entities. The payment button itself has to name the amount and say what the payment is for.

If any of that is missing, or a clinic asks you to send a deposit somewhere else, stop and read paying safely and clinics that aren't on GetClinic before sending money.

GetClinic is a technology marketplace. The clinic you choose provides your healthcare and is responsible for it. This is general information about how GetClinic works, not medical advice. Only the clinic's qualified healthcare professionals can decide what treatment is right for you.
