GetClinic Booking & Deposit Terms

Version 1.0Effective 1 September 2026

Version1.0
PublishedSeptember 1, 2026
EffectiveFor Bookings made on or after September 1, 2026
ProviderGetClinic, Inc., a Delaware corporation
Applies WithPatient Marketplace Terms of Service; Refund & Cancellation Policy

1. Relationship to the Patient Terms

These Booking Terms apply specifically to Booking and Clinic-related payment transactions through GetClinic. They must be read together with, as applicable:

Nothing in these Booking Terms makes GetClinic the healthcare provider. The selected Clinic remains responsible for healthcare, medical suitability, Treatment, Treatment Price and clinical decisions.

For a Treatment Booking, the minimum cancellation protections in these Booking Terms and the Refund & Cancellation Policy cannot be reduced by a Clinic Offer, Booking confirmation, Clinic policy or transaction-specific term: the unused Clinic Booking Deposit is fully refundable for cancellation at least 72 hours before the scheduled Treatment start time, and any Clinic Cancellation Charge for cancellation inside 72 hours is limited as stated in these Booking Terms. More favorable Patient rights may apply.

2. Defined Terms

“Booking” a reservation, appointment, consultation or Treatment booking requested, created, provisionally held or confirmed through GetClinic.

“Booking Type” the type of transaction shown at checkout, which may include Consultation, Treatment, or another specifically identified Clinic service.

“Booking Status” the current marketplace status of the Booking, including Provisional, Confirmed or Cancelled.

“Clinic” the independent healthcare provider selected by the Patient.

“Participating Facility” the hospital, clinic, medical center or other healthcare facility/location identified in the Booking as the place where the booked Treatment is scheduled to begin.

“Clinic Booking Deposit” an amount independently determined, required or approved by the selected Clinic and paid through an approved refundable Collection Route to secure a Booking. If booked Treatment proceeds, it is credited in full against the Clinic Treatment Price. If the Patient cancels at least 72 hours before the scheduled Treatment start time, the unused Clinic Booking Deposit is refunded in full. If the Patient cancels less than 72 hours before the scheduled start time but before Treatment begins, any retention is governed by the Clinic Cancellation Charge rules in these Booking Terms and the Refund & Cancellation Policy. Other non-Treatment-proceeds outcomes are handled under these Booking Terms, the Refund & Cancellation Policy, transaction-specific disclosures and mandatory law.

“Clinic Charge” a separately disclosed amount charged by the Clinic that is not a Clinic Booking Deposit, including a Clinic Consultation Charge, Clinic Cancellation Charge, Clinic No-Show Charge, or another lawful Clinic charge disclosed before payment.

“Clinic Consultation Charge” a separately disclosed amount charged by the Clinic for a consultation provided by the Clinic or its healthcare professional, including a remote consultation conducted using GetClinic technology.

“Clinic Cancellation Charge” a separately disclosed lawful Clinic charge relating to a cancellation in circumstances where such a charge is permitted, including a late cancellation less than 72 hours before the scheduled Treatment start time. Where applied from a Clinic Booking Deposit, the charge must have been disclosed before payment, must not exceed the Clinic Booking Deposit, must be reasonable and proportionate to genuine non-recoverable costs or loss caused by the late cancellation, and must be separately identified from any remaining Deposit and other Clinic Charges, subject to mandatory law.

“Clinic No-Show Charge” a separately disclosed lawful Clinic charge after an avoidable no-show under no-show terms disclosed before payment. Where applied from a Clinic Booking Deposit, the charge must not exceed the Clinic Booking Deposit, must be reasonable and proportionate to genuine non-recoverable costs or loss caused by the no-show, and must be separately identified from any remaining Deposit and other Clinic Charges, subject to mandatory law.

“Clinic Offer” a quotation, proposed Treatment plan, booking offer, estimated Treatment Price or other commercial or medical proposal issued or approved by a Clinic.

“Clinic Treatment Balance” the amount of the Clinic Treatment Price remaining payable after applying the Clinic Booking Deposit and other applicable Clinic credits.

“Collection Route” the payment route identified at checkout for a Clinic-related Patient payment. A Clinic Booking Deposit may use only an approved refundable Collection Route through which GetClinic or the applicable PSP is authorized and technically able to initiate or facilitate required refunds. Other Clinic-related payments may use direct Clinic collection, Clinic-designated PSP collection, connected-account or marketplace payment infrastructure, GetClinic or a PSP collecting on behalf of the Clinic where legally permitted and authorized, or another disclosed lawful route.

“Medical Approval Status” the Clinic's current medical-review status for a proposed Treatment: Pending Review, Conditionally Approved, Approved or Not Approved.

“Payment Beneficiary / Payee” the Clinic or other person clearly identified before payment as the beneficiary or payee of the Clinic-related Patient payment.

“Payment Processor” Stripe or another regulated payment service provider technically processing the relevant payment.

“PSP” Stripe or another payment service provider used in connection with a transaction.

“Treatment” healthcare, medical, dental, surgical, diagnostic, consultation or related healthcare services offered by a Clinic.

“Treatment Price / Clinic Treatment Price” the amount charged by the Clinic for Treatment.

3. Patient Chooses the Clinic

You choose the Clinic with which you wish to consult or book. GetClinic may provide search, filtering, comparison, matching and marketplace technology, but GetClinic does not make the final Clinic selection for you. The healthcare relationship is between you and the Clinic.

4. An Inquiry Is Not a Booking

Sending an inquiry, uploading photographs, requesting a quotation or communicating with a Clinic does not necessarily create a confirmed Booking. An inquiry does not mean:

  • the Clinic has accepted you;
  • you are medically suitable;
  • Treatment has been confirmed;
  • the Treatment Price is final;
  • a particular physician has accepted the case.

5. Clinic Offers

Before a Treatment-related payment is made, the applicable Clinic Offer must clearly identify material transaction information as applicable, including:

  • Clinic;
  • Treatment or proposed Treatment;
  • Treatment Price or estimate;
  • Clinic Booking Deposit;
  • Clinic Treatment Balance or method of calculation;
  • material inclusions;
  • material exclusions;
  • relevant validity period;
  • cancellation and no-show terms;
  • medical assumptions or conditions materially affecting the Offer.

The Clinic is responsible for the substance of the Clinic Offer. GetClinic may provide the technology used to generate, transmit or display it.

Any cancellation term in a Clinic Offer must be consistent with the minimum cancellation protections in these Booking Terms and the Refund & Cancellation Policy. A Clinic Offer may improve those rights but may not shorten the 72-hour full-refund window or permit a late Clinic Cancellation Charge beyond the limits stated in these Booking Terms.

6. Price Basis

The Clinic determines the Treatment Price. The applicable Clinic Offer must identify whether the Treatment Price is fixed or estimated/provided as a range. Where further medical assessment could materially affect the final Treatment Price, that fact must be disclosed. A marketplace starting price or general price range is not necessarily the Patient's final Clinic Treatment Price.

7. No GetClinic Price Guarantee

GetClinic does not independently guarantee that a Clinic will maintain a Treatment Price for a particular period. Any Clinic commitment relating to Treatment Price must come from the Clinic and must be stated in the applicable Clinic Offer or Booking terms.

8. Treatment Scope and Price Changes

A Clinic may need to change the Treatment scope or Treatment Price because of circumstances including:

  • new medical information;
  • findings from physical examination;
  • laboratory, imaging or diagnostic results;
  • a clinically necessary change not reasonably identifiable earlier;
  • additional Treatment requested by the Patient;
  • a Patient-requested change to the Treatment scope;
  • a previously disclosed exclusion becoming relevant.

Where a non-emergency change would materially increase the Treatment Price or add separately chargeable Treatment, the Clinic must explain the changed Treatment scope, disclose the additional or revised price, and obtain the Patient's express agreement before providing the additional paid service, except where mandatory law or a genuine medical emergency permits otherwise.

A Patient is not required to purchase optional additional Treatment merely because the Patient has travelled to the Clinic.

9. Medical Approval Is Controlled by the Clinic

Only the Clinic and its appropriately qualified healthcare professionals determine whether a proposed Treatment is medically suitable. GetClinic does not:

  • diagnose;
  • approve medical eligibility;
  • medically reject a Patient;
  • determine Treatment safety;
  • prescribe Treatment.

10. Medical Approval Status

Pending Review

The Clinic has not completed its medical review.

Conditionally Approved

The Clinic is willing to proceed subject to identified conditions, further information, testing, consultation or examination.

Approved

The Clinic has approved the Patient to proceed based on the information then available.

Not Approved

The Clinic has determined that the proposed Treatment should not proceed.

11. Remote Approval Is Not Necessarily Final Clinical Clearance

A Clinic may approve or provisionally approve a Patient based on information provided remotely. The Clinic may later revise its medical recommendation where reasonably justified by:

  • an in-person examination;
  • new medical history;
  • test results;
  • imaging;
  • changes in health;
  • other clinically relevant information.

Any resulting Deposit treatment remains subject to these Booking Terms, the Refund & Cancellation Policy and mandatory law.

12. Clinic May Require a Deposit

A Clinic may require a Clinic Booking Deposit to secure a Booking. The Clinic independently determines or approves the Clinic Booking Deposit. GetClinic does not determine the Deposit by reference to GetClinic's clinic-side software, subscription, marketplace or workflow compensation.

13. Deposit Is Separate From GetClinic Compensation

The Clinic Booking Deposit and GetClinic's Clinic-side commercial compensation are separate obligations.

ExampleAmount
Clinic Treatment PriceEUR 3,200
Clinic Booking DepositEUR 640

Separately, the Clinic may owe GetClinic subscription fees, software fees, technology or workflow fees, marketplace fees, or other lawful B2B compensation. The Clinic Booking Deposit must not be interpreted as GetClinic revenue merely because GetClinic technology or a GetClinic-supported payment interface is used. The Clinic Booking Deposit is not calculated by reference to, and is independent from, GetClinic's Clinic-side compensation.

14. No Separate Patient Marketplace Fee

GetClinic does not separately charge Patients for access to the GetClinic Patient marketplace under these Booking Terms. Clinic-related Patient payments are not GetClinic marketplace-access fees. If GetClinic later offers a genuinely separate, separately contracted non-Clinic consumer service for a fee, that fee must be clearly disclosed and separately accepted before payment.

15. Deposit Is Applied to Treatment

If the Clinic accepts the Treatment Booking and the booked Treatment proceeds, the Clinic Booking Deposit is credited in full against the Clinic Treatment Price.

ExampleAmount
Clinic Treatment PriceUSD 10,000
Clinic Booking DepositUSD 800
Clinic Treatment BalanceUSD 9,200

The Deposit is not an additional charge on top of the Treatment Price unless a separate Clinic Charge is clearly disclosed as such.

16. Deposit May Be Collected While Medical Review Is Pending

A Clinic may require a refundable Clinic Booking Deposit while Medical Approval Status is Pending Review, provided that:

  • there is a provisional Clinic Booking;
  • the Clinic has issued or approved a provisional Clinic Offer;
  • the Clinic independently requires or approves the Deposit;
  • checkout clearly states that medical review remains pending;
  • the Deposit remains refundable while Clinic acceptance is pending.

The broader cancellation protection also applies after Clinic acceptance: the unused Clinic Booking Deposit remains fully refundable if the Patient cancels at least 72 hours before the scheduled Treatment start time. If Clinic acceptance first occurs less than 72 hours before the scheduled start time, the Deposit remains fully refundable until the Patient affirmatively confirms the accepted Booking after receiving the final material Booking and cancellation terms.

17. Pending Review Does Not Mean Medical Approval

Payment of a Clinic Booking Deposit while Medical Approval Status is Pending Review does not mean:

  • the Clinic has medically approved Treatment;
  • a doctor has made a final clinical decision;
  • Treatment is guaranteed;
  • the Booking is medically final.

Checkout must clearly identify the status.

18. When Pending-Review Treatment Deposit Is Disabled

Payment of a Clinic Booking Deposit for Treatment must be disabled where:

  • Booking Status is Cancelled;
  • Medical Approval Status is Not Approved;

Medical Approval Status is Pending Review but the required provisional Booking / Clinic Offer / Clinic-required Deposit structure does not exist.

19. Consultation Charges Are Separate

A separately disclosed Clinic Consultation Charge may be paid independently while Treatment Medical Approval Status remains Pending Review. Payment of a consultation charge does not itself constitute Treatment approval. A Clinic Consultation Charge is not part of the Clinic Booking Deposit unless transaction-specific terms expressly and lawfully state otherwise.

20. Collection Routes and Deposit Route Requirement

A Clinic Booking Deposit may be collected only through an approved Collection Route displayed by GetClinic at checkout where GetClinic or the applicable PSP is authorized and technically able to initiate or facilitate refunds required by these Booking Terms and the Refund & Cancellation Policy.

Permitted Deposit routes may include an integrated Clinic-designated PSP, approved marketplace or connected-account payment infrastructure, or GetClinic or its PSP collecting on behalf of the Clinic where legally permitted and authorized.

Direct off-platform payment to the Clinic is not a permitted Collection Route for a Clinic Booking Deposit under these Booking Terms. If a Clinic asks a Patient to pay a GetClinic Booking Deposit outside the Collection Route displayed by GetClinic, the Patient should contact GetClinic before paying.

If an approved refundable Collection Route is unavailable for a Clinic or country, GetClinic may disable payment of a Clinic Booking Deposit for that Booking.

The Clinic Treatment Balance and other permitted Clinic-related amounts may still be paid directly to the Clinic, through a Clinic-designated PSP, through marketplace payment infrastructure, or through another disclosed lawful Collection Route where permitted.

Not every Collection Route is available for every Clinic, country or payment type. The narrower Deposit route rule applies specifically to Clinic Booking Deposits.

Checkout must not present direct off-platform Clinic collection as an approved Collection Route for a Clinic Booking Deposit.

21. Checkout Must Identify Payment Roles

Before payment, GetClinic must clearly identify, as applicable:

Payment Beneficiary / Payee

Who economically receives or is entitled to the payment.

Payment Processor

The regulated PSP technically processing the transaction.

Collection Route

How the payment is being collected.

Payment Effect

The amount of the Patient's corresponding payment obligation to the Clinic that will be satisfied by successful payment.

These roles may be different entities.

22. Payment Discharges the Clinic Obligation

Where legally permitted and authorized, successful payment of a Clinic-related amount through the Collection Route identified at checkout satisfies the corresponding portion of the Patient's payment obligation to the Clinic stated at checkout.

ExampleAmount
Clinic Booking Deposit owed to ClinicEUR 640
Amount successfully paidEUR 640
Remaining Clinic Booking Deposit obligationEUR 0

For Clinic Booking Deposits, this payment-discharge rule applies only through the approved Deposit Collection Route displayed at checkout. For other Clinic-related amounts, the identified Collection Route may be direct Clinic payment, a Clinic-designated PSP, approved marketplace payment infrastructure, GetClinic or its PSP collecting on behalf of the Clinic where legally permitted and authorized, or another disclosed lawful route.

23. No General Consumer Wallet

GetClinic does not provide a general-purpose stored-value account, consumer wallet, peer-to-peer payment service or international remittance service. Patient payments through GetClinic must relate to legitimate GetClinic marketplace transactions or a separately contracted GetClinic service.

24. Payment Authorization and Verification

A payment may require card authentication, 3D Secure, bank verification, identity verification, fraud checks, sanctions screening or PSP compliance checks. GetClinic or the applicable PSP may pause, reject or require additional verification for a transaction where reasonably necessary.

25. Failed or Declined Payments

A Booking is not treated as paid merely because a payment attempt was submitted. Where a payment fails, is declined, expires, is reversed or is not successfully authenticated, the Patient may be required to try another permitted payment method. A Clinic is not required to treat a Clinic Booking Deposit as paid until successful payment is confirmed.

26. Currency

The Clinic Offer and checkout must identify the applicable payment currency. A Patient's card issuer, bank or PSP may perform currency conversion where the Patient's account uses another currency.

27. Foreign Exchange and Bank Fees

The Patient may incur charges including:

  • currency-conversion fees;
  • foreign-transaction fees;
  • card-network fees;
  • bank fees.

Unless expressly identified as guaranteed, any converted value displayed by GetClinic is an estimate. Fees independently imposed by the Patient's bank or card issuer are not Clinic Booking Deposits and are not GetClinic revenue.

28. Medical Rejection Before Treatment

If, before the booked Treatment is provided, the Clinic determines that the Patient cannot safely or appropriately receive the proposed Treatment, any unused Clinic Booking Deposit must be refunded in full, subject to mandatory law. The marketplace must not treat a medically unsuitable Patient as having successfully received the booked Treatment.

29. Separate Consultation Charge After Medical Rejection

A separately disclosed and lawfully charged Clinic Consultation Charge is independent from the Clinic Booking Deposit.

ExampleAmount
Clinic Consultation ChargeUSD 29
Clinic Booking DepositUSD 640
Medical rejection Deposit refundUSD 640

The Clinic Consultation Charge may remain payable if the consultation was actually provided, the charge was disclosed before payment, and retention is lawful. The consultation charge must not be deducted from the Deposit unless the applicable transaction terms expressly and lawfully provide otherwise.

30. Clinic Cancels Treatment

If the Clinic cancels the booked Treatment before providing the Treatment to which the Clinic Booking Deposit relates, any unused Clinic Booking Deposit must be refunded in full. The Patient may voluntarily choose instead a new date, replacement Treatment, rebooking or another lawful arrangement. Such an alternative must be voluntary.

31. Clinic Cancellation Does Not Become GetClinic Revenue

A Clinic's inability or refusal to provide Treatment does not convert a Clinic Booking Deposit into GetClinic revenue.

32. Patient Cancels Before Treatment

If the Patient voluntarily cancels a Treatment Booking at least 72 hours before the scheduled Treatment start time, 100% of the unused Clinic Booking Deposit must be refunded. The 72-hour period is measured backward from the scheduled Treatment start time in the local time of the Participating Facility where Treatment is scheduled, and cancellation recorded exactly 72 hours before that scheduled start qualifies for the full refund.

If the Patient cancels less than 72 hours before the scheduled Treatment start time but before Treatment begins, the Clinic may apply a Clinic Cancellation Charge only where the charge was clearly disclosed before payment, is lawful, is reasonable and proportionate to genuine non-recoverable costs or loss caused by the late cancellation, and does not exceed the Clinic Booking Deposit. Any remaining Deposit balance must be refunded.

A Clinic Offer, Booking confirmation, checkout disclosure or Clinic policy may provide more favorable Patient rights, but may not reduce the 72-hour full-refund protection or expand a late Clinic Cancellation Charge beyond the limits stated above.

33. Late Cancellation Charges

No part of a Treatment Clinic Booking Deposit may be retained or reclassified as a Clinic Cancellation Charge when the Patient cancels at least 72 hours before the scheduled Treatment start time. For a cancellation inside 72 hours but before Treatment begins, only the disclosed lawful Clinic Cancellation Charge described in Section 32 may be retained; any remaining Deposit balance must be refunded.

A separately disclosed Clinic Consultation Charge for a consultation actually provided is independent and may remain payable where lawful. Every Clinic Cancellation Charge must be separately identified and must not be mislabeled as an unused Clinic Booking Deposit or GetClinic revenue.

34. No-Show Policy

A Patient is not a no-show if cancellation is recorded before the scheduled Treatment begins. A cancellation inside the 72-hour window is a late cancellation governed by Sections 32-33. A Clinic may apply a lawful no-show policy only where the Patient did not cancel before the scheduled start time, failed to attend as scheduled, the applicable no-show terms were clearly disclosed before the Booking, and the charge is lawful, reasonable and proportionate to genuine non-recoverable costs or loss caused by the no-show.

35. No-Show Deposit Conversion

If part of a Clinic Booking Deposit may lawfully be retained after an avoidable no-show, the retained amount must be recorded as a Clinic No-Show Charge, may not exceed the Clinic Booking Deposit, and any balance not lawfully retained must be refunded.

ExampleAmount
Clinic Booking DepositEUR 800
Clinic No-Show ChargeEUR 250
Patient refundEUR 550

Any retained amount remains Clinic-related and does not become GetClinic revenue merely because GetClinic technology facilitated the payment.

36. Material Changes by the Clinic

A Patient may have cancellation, rebooking or refund rights where the Clinic materially changes matters such as:

  • Treatment scope;
  • Treatment Price;
  • physician, where material to the Booking;
  • essential included service;
  • material Treatment date;
  • Treatment location;
  • another material Booking term.

The Clinic Offer, Refund & Cancellation Policy, these Booking Terms and mandatory law determine the result. Any Patient cancellation remains subject to the minimum 72-hour full-refund protection and the late-cancellation charge limits stated above.

37. Refund Entitlement

A refund may arise because of circumstances including:

  • Patient cancellation under the 72-hour cancellation rules;
  • medical rejection;
  • Clinic cancellation;
  • no-show rules where a balance remains refundable;
  • duplicate payment;
  • payment error;
  • mandatory consumer rights;
  • another applicable transaction term.

38. Refund Processing

Clinic Booking Deposits may be processed only through a Collection Route for which GetClinic or the applicable PSP is authorized and technically able to initiate or facilitate required refunds. When a Clinic Booking Deposit refund is due under these Booking Terms, applicable transaction terms, the Refund & Cancellation Policy or mandatory law, GetClinic will initiate or facilitate the refund through that payment infrastructure.

For the Clinic Treatment Balance or another permitted Clinic-related amount paid directly to the Clinic, the Clinic is responsible for sending any refund due. GetClinic may facilitate communication, maintain records and take marketplace enforcement action, but cannot return funds it never received or controlled.

39. Refund Route

Refunds will generally be returned through the original payment route where feasible. A refund may require another lawful route where the original payment method is closed, the PSP cannot return the payment, applicable financial regulation requires another method, or another reasonable technical limitation exists.

40. Refund Timing

Where GetClinic is responsible for initiating or facilitating a refund, it will do so without unreasonable delay after the refund entitlement and required transaction information are established. Posting time may additionally depend on the Clinic, PSP, card network, bank, fraud review, currency conversion and applicable law.

41. Partial Refunds

Where only part of a Clinic-related amount is refundable, GetClinic or the applicable PSP may process a partial refund. The transaction record should identify:

  • original amount;
  • retained Clinic Charge, where applicable;
  • amount refunded;
  • reason or applicable refund category.

For clarity, Patient cancellation at least 72 hours before the scheduled Treatment start time does not create a partial Deposit refund: the unused Clinic Booking Deposit is refunded 100%. A partial Deposit refund may arise after a late cancellation inside 72 hours or an avoidable no-show only where a disclosed lawful Clinic Charge may be retained.

42. Card and Bank Dispute Rights

Nothing in these Booking Terms removes legitimate rights a Patient may have through a card issuer, bank, PSP, card-network rules or mandatory law. Patients must not knowingly submit fraudulent payment disputes. Where practicable, Patients are encouraged to contact GetClinic payment support so the issue can first be investigated.

43. Clinic Treatment Balance

After applying the Clinic Booking Deposit, the remaining Clinic Treatment Balance is payable to the Clinic according to the applicable Clinic Offer and payment instructions. Where GetClinic offers an approved payment method for the Clinic Treatment Balance, the checkout/payment disclosures applicable to that payment will apply.

44. Payments Outside GetClinic

The Clinic Treatment Balance may be paid directly outside GetClinic where that Collection Route is disclosed and permitted. A Clinic Booking Deposit, however, must use the approved refundable Collection Route displayed by GetClinic. For any permitted direct Treatment Balance payment, the Patient should verify:

  • Clinic legal identity;
  • bank-account holder;
  • payment details;
  • unexpected changes to bank instructions.

Patients should be particularly cautious about last-minute requests to send substantial funds to a different account.

45. Fraudulent Payment Instructions

GetClinic is not responsible for funds voluntarily sent outside GetClinic to a fraudulent account based on instructions that did not originate from GetClinic or the verified Clinic, except to the extent applicable law provides otherwise. If payment instructions appear suspicious, the Patient should verify them using a previously verified communication channel before sending funds.

46. GetClinic Booking and Payment Records

GetClinic may provide Booking confirmation, payment confirmation, transaction record, refund confirmation and payment status. These records do not make GetClinic the supplier or seller of the Clinic's healthcare.

47. Clinic Invoices and Fiscal Receipts

Unless GetClinic is separately identified as the supplier of a service, the Clinic remains responsible for issuing any healthcare invoice, fiscal receipt, tax invoice, medical invoice or other Clinic document required by applicable law.

48. Information Displayed Before Payment

Before a Clinic-related payment, GetClinic must clearly display, as applicable:

  • selected Clinic;
  • Treatment or service;
  • Clinic Treatment Price or estimate;
  • Clinic Booking Deposit;
  • Clinic Treatment Balance;
  • Booking Type;
  • Booking Status;
  • Medical Approval Status;
  • Payment Beneficiary or Payee;
  • Payment Processor;
  • Collection Route;
  • Payment Effect;
  • applicable cancellation terms, including the minimum right to a 100% refund of the unused Clinic Booking Deposit if the Patient cancels at least 72 hours before the scheduled Treatment start time and the disclosed late-cancellation rule that may apply inside 72 hours;
  • applicable refund terms;
  • applicable no-show terms;
  • final payment amount;
  • currency;
  • payment-button wording.

49. Payment Button

The final payment button or equivalent affirmative action must make clear that the Patient is creating a payment obligation. Depending on the transaction, appropriate wording may include:

Pay Clinic Booking Deposit - EUR 640

Pay Clinic Consultation Charge - USD 29

Pay Clinic Treatment Balance - EUR 2,560

The payment amount and nature must not be hidden behind vague wording.

50. Required Booking Acknowledgements

At checkout, the Patient must affirmatively acknowledge, as applicable to the Booking Type, payment and transaction, that:

  • the Patient selected the Clinic;
  • the Clinic, not GetClinic, provides healthcare;
  • the Clinic determines medical suitability;
  • the Clinic issued or approved the relevant Offer where applicable;
  • a Pending Review status does not constitute final medical approval;
  • a pending-review Clinic Booking Deposit remains refundable while Clinic acceptance remains pending;
  • for a Treatment Booking, the unused Clinic Booking Deposit is 100% refundable if the Patient cancels at least 72 hours before the scheduled Treatment start time, and a disclosed lawful and proportionate Clinic Cancellation Charge may apply to cancellation inside 72 hours;
  • if the Clinic accepts the Booking and Treatment proceeds, the Clinic Booking Deposit is credited in full against the Clinic Treatment Price;
  • the Patient reviewed the applicable refund, cancellation and no-show terms;
  • the Payment Beneficiary or Payee may differ from the Payment Processor or Collection Route, and a Clinic Booking Deposit may be paid only through the approved refundable Collection Route displayed by GetClinic;

successful payment through the identified Collection Route satisfies the corresponding portion of the Patient's payment obligation to the Clinic.

These acknowledgements must appear at or before checkout rather than being available only inside a long legal document.

51. Electronic Acceptance Evidence

GetClinic may record evidence including:

  • Patient account ID;
  • Booking ID;
  • Clinic ID;
  • Booking Terms version;
  • Patient Terms version;
  • Refund Policy version;
  • Clinic Offer version;
  • date and time;
  • acceptance action;
  • payment amount;
  • currency;
  • Collection Route;
  • Payment Beneficiary;
  • Payment Processor;
  • transaction identifier;
  • technical information where lawful.

GetClinic may retain transaction-specific copies or hashes of applicable legal documents for evidence and compliance purposes.

52. Clinic Offer Controls Clinic Commercial Terms

For Patient-Clinic commercial matters, the applicable Clinic Offer, Booking Confirmation and expressly agreed transaction-specific commercial terms govern matters such as Treatment Price, Clinic Booking Deposit amount, inclusions, exclusions, selected Treatment and agreed Clinic services, except that no such term may reduce the minimum 72-hour full-refund protection or expand a late Clinic Cancellation Charge beyond the limits in these Booking Terms and the Refund & Cancellation Policy. More favorable Patient terms may apply.

53. These Booking Terms Control Booking Mechanics

These Booking Terms govern GetClinic marketplace rules concerning Booking status, Deposit treatment, the minimum 72-hour Deposit refund protection, late-cancellation charge limits, checkout disclosures, payment roles, Deposit Collection Route requirements, refund processing, cancellation/no-show classification and transaction records.

54. Clinical Documents Control Clinical Care

Clinic Treatment Agreements, informed consent, clinical policies and medical records govern clinical care, medical risks and medical consent. Generic clinical forms do not silently alter separately agreed commercial Booking terms, reduce the minimum 72-hour Deposit refund right, expand a late Clinic Cancellation Charge beyond these Booking Terms, or authorize a different Deposit Collection Route unless mandatory law requires otherwise.

55. Mandatory Law Prevails

Nothing in these Booking Terms removes a mandatory Patient right that applicable law does not permit the Patient to waive. This includes mandatory rights relating to refunds, cancellation, payment disputes, unfair contract terms, consumer information, healthcare and jurisdiction.

56. Different Countries May Apply Different Rules

Patients and Clinics may be located in different jurisdictions. Certain Booking, payment, refund or cancellation rules may therefore differ depending on Patient country, Clinic country, payment route, nature of the healthcare service and applicable mandatory law. GetClinic may apply country-specific transaction disclosures where required. Country-specific disclosures may provide additional or more favorable rights, but may not reduce the minimum 72-hour full-refund protection or expand late-cancellation charges beyond the limits stated in these Booking Terms.

57. Updates

GetClinic may update these Booking Terms to reflect changes to GetClinic Services, payment or Booking functionality, regulatory requirements, security requirements, marketplace operations or other legitimate operational needs. Each updated version will identify a version number and effective date.

58. Existing Bookings

Updated Booking Terms generally apply prospectively. Unless mandatory law requires otherwise or the Patient expressly agrees to a more favorable change, an update will not retroactively reduce material commercial rights already applicable to a confirmed Booking, including the Clinic Treatment Price, Clinic Booking Deposit, applicable cancellation terms, applicable refund terms, or rights already accrued through a completed transaction. Where affirmative renewed acceptance is legally required, GetClinic will obtain it.

60. Final Booking Statement

GetClinic provides the marketplace and Booking technology.

You choose the Clinic.

The Clinic determines medical suitability, Treatment, Treatment Price and Clinic Booking Deposit.

For a Treatment Booking, the unused Clinic Booking Deposit is 100% refundable if the Patient cancels at least 72 hours before the scheduled Treatment start time. For cancellation inside 72 hours but before Treatment begins, only a clearly disclosed, lawful, reasonable and proportionate Clinic Cancellation Charge may be retained, up to the amount of the Clinic Booking Deposit; any remaining balance is refunded.

Clinic-related Patient payments remain separate from GetClinic's Clinic-side compensation.

The Collection Route shown at checkout determines how a payment is processed, not who provides the healthcare. Clinic Booking Deposits use only approved refundable Collection Routes; the Clinic Treatment Balance may use a direct Clinic route where permitted.

Where successful payment is made through the identified Collection Route, the corresponding Clinic payment obligation stated at checkout is satisfied.
