Cancel at least 72 hours before your scheduled treatment start time and 100% of the unused deposit is refunded. That is the minimum protection on every treatment booking, and no clinic offer, consent form or checkout term may reduce it. Inside 72 hours, a clinic may keep only a charge it disclosed to you before you paid, and only within strict limits.
The 72-hour rule
The Refund & Cancellation Policy sets a floor. For a treatment booking, the unused clinic booking deposit is 100% refundable if you cancel at least 72 hours before the scheduled start (Refund Policy §9). The same rule appears in the Terms of Service and the Booking Terms §32, so it does not depend on which document you read.
If you cancel inside 72 hours but before treatment begins, the clinic may apply a cancellation charge only where all of the following are true (Refund Policy §9):
- it was clearly disclosed before you paid;
- it is lawful;
- it is reasonable and proportionate to genuine non-recoverable costs or loss caused by the late cancellation;
- it does not exceed the deposit.
Any remaining deposit balance is refunded. If the charge was not disclosed before payment, nothing may be retained from your deposit.
The full schedule
While clinic acceptance is still pending, the deposit stays fully refundable. If acceptance first happens inside the 72-hour window, it remains fully refundable until you actively reconfirm the booking after receiving the final terms (Refund Policy §5).
Anything a clinic lawfully keeps is recorded as a clinic cancellation charge or a clinic no-show charge. It does not become GetClinic revenue because GetClinic technology handled the payment (Refund Policy §10, §18). Deposits are also only ever collected through an approved refundable route, so that a refund can actually be initiated when one is due (Refund Policy §17).
How the 72 hours is counted
The 72 hours runs backwards from the scheduled treatment start time, in the local time of the participating facility where treatment is booked. That is the hospital or clinic location named in your booking, not your own time zone.
A cancellation recorded at exactly 72 hours before the scheduled start qualifies for the full refund (Refund Policy §9). Earlier than that also qualifies. Only later than that falls into the late-cancellation tier.
Cancelling late is not a no-show
If a cancellation is recorded before treatment is scheduled to begin, you are not a no-show, however late it is (Refund Policy §10). A late cancellation is governed by the inside-72-hours rule above. No-show terms can apply only where you did not cancel before the start time, did not attend, and the terms were clearly disclosed before booking and are lawful.
You will not be treated as a no-show because you declined a change to your booking that you did not agree to (Refund Policy §12). If a clinic materially changes the price, scope, date, location or physician, the revised terms have to be disclosed and accepted before they bind you.

Illness, bereavement and events outside your control
If you cancel at least 72 hours ahead, the ordinary 100% refund applies and no special proof is needed to get it (Refund Policy §15).
If a serious illness, hospitalisation, bereavement, border closure or similar event stops you cancelling in time, contact GetClinic as soon as you reasonably can. GetClinic will facilitate a good-faith review with the clinic of any cancellation or no-show charge, including whether it should be waived or reduced (Refund Policy §14, §15). That is a review, not an automatic waiver, and the outcome depends on the clinic's genuine non-recoverable costs and on the law that applies. Flights, hotels, visas and insurance you bought separately are not refundable by GetClinic just because a booking is cancelled (Refund Policy §22).
What a clinic's own paperwork can and cannot do
A clinic offer, consent form or checkout term can give you more than this. It cannot give you less. A generic clinic policy or a form issued later does not silently replace the protection attached to your booking (Refund Policy §4).
