Invitation letters and clinic travel documents

Why any letter or document your clinic writes for your trip comes from the clinic, not from GetClinic, and how to ask for one.

3 min read

If you need a letter from your clinic to support a visa application or to show at the border, ask the clinic. GetClinic does not issue invitation letters, appointment letters or any other immigration or travel document, and cannot tell you whether a particular clinic provides one.

Why the clinic is the only party who can answer

GetClinic is a technology marketplace. The clinic you choose provides your healthcare and is responsible for it. A letter about your treatment is a document about the clinic's own patient, written by the clinic on its own paper, and the clinic alone decides whether it issues one, what it says and what it needs from you first.

The same applies to travel logistics generally. Where a clinic offers health-tourism arrangements, the Patient Marketplace Terms of Service put that clinic, or another identified provider, in charge of them. GetClinic does not itself provide flights, hotels, airport transfers, local transportation or healthcare-tourism packages, so it has nothing to certify about your trip.

Because none of this is a GetClinic service, we cannot tell you in advance whether a document is available, what form it takes or how long it takes to produce. Anyone who tells you otherwise is guessing.

What to ask your clinic

Send the request through the marketplace messaging in your account, or through whatever direct channel the clinic has given you, and be specific. Useful things to ask:

  • whether the clinic provides a letter of this kind at all
  • exactly what the authority you are dealing with has asked for, quoted from its own instructions
  • what the clinic needs from you before it can write anything, such as identity details or a confirmed appointment date
  • what the document will and will not contain
  • how long the clinic expects to take, so you can plan around it
  • whether it will arrive digitally, on headed paper, signed, stamped, or in a particular language

Ask early. A document requested a few days before a flight is worth much less than the same document requested when you first book.

What GetClinic can do

We can pass a request on and keep a record of it. GetClinic maintains booking records, transmits marketplace communications and can relay your request to the clinic, so the ask and the reply sit in the same place as the rest of your booking. That is administrative help, not authorship: the letter itself remains the clinic's document.

If the clinic stops replying to a reasonable request through the marketplace, that is a marketplace matter you can raise with us at [email protected]. See raising a medical concern, and emergencies for how issues are routed.

Check the requirement before you chase the letter

Before asking for a document, confirm that the authority actually wants one, and in what form. That is a question for the destination country's immigration authority, embassy or consulate, not for the clinic and not for us. A letter written to the wrong specification is a wasted week.

The split works out like this:

QuestionWho answers it
Is a letter required for my application? The destination country's immigration authority, embassy or consulate
What exactly must it say?The same authority, in its published application instructions
Will my clinic write one, and when?Your clinic
Can GetClinic pass on my request and keep it on file?Yes
Will a letter get me a visa or entry?Nothing guarantees that. Seevisas and entry

Before you book anything around it

Do not buy non-refundable flights on the strength of a document you have not received. Travel you purchase independently is not refundable by GetClinic if a booking is cancelled, whatever the reason. Travel, hotels and companions explains who provides what, and visas and entry explains where the entry rules come from.

This is general information about how GetClinic works. It is not immigration advice and it is not medical advice. Only the clinic's qualified healthcare professionals can decide what treatment is right for you. The full terms are at /terms, and every published GetClinic legal document is listed at /legal.
