At GetClinic, we understand that plans can change unexpectedly. Our refund and cancellation policy is designed to be fair to both patients and clinics while providing flexibility when life circumstances require adjustments to your treatment plans.

Before Your Treatment Date

The timing of your cancellation request significantly impacts the refund amount you may receive.

More than 14 days before treatment

  • Full refund of all payments made through GetClinic
  • Processing time: 5-10 business days
  • Refunded to original payment method

7-14 days before treatment

  • 50% refund of the total amount paid
  • Clinic preparation costs are non-refundable
  • Processing time: 7-14 business days

Less than 7 days before treatment

  • No refund available under standard policy
  • Rescheduling may be possible subject to clinic availability
  • Medical emergency exceptions may apply

After Your Treatment

Refund requests after treatment has begun are evaluated on a case-by-case basis. These situations typically require:

  1. Medical documentation from a qualified healthcare provider
  2. Photographic evidence if applicable to your concern
  3. Detailed written explanation of the issue
  4. Timeline of events and any communication with the clinic

How to Request a Refund

Follow these steps to initiate a refund request:

  1. Log in to your GetClinic account
  2. Navigate to My Bookings section
  3. Select the relevant booking
  4. Click Request Refund button
  5. Fill out the refund request form
  6. Submit supporting documentation if applicable

Special Circumstances

Medical Emergencies

If you need to cancel due to a documented medical emergency, we may offer more flexible refund terms. Please contact our support team immediately with medical documentation from your doctor, hospital records if applicable, and written explanation of how this affects your ability to travel.

Visa Rejections

If your visa application is rejected after booking, provide the official visa rejection letter. Full refund may be considered minus administrative fees. Alternative dates may be offered if visa can be reapplied.

Natural Disasters or Political Unrest

In cases of force majeure affecting your destination, full refund or free rescheduling is offered. No documentation required beyond news verification. We will proactively contact affected patients.

Frequently Asked Questions

Can I get a refund if I am not satisfied with my results?

Satisfaction-based refunds are handled differently from cancellation refunds. If you are unhappy with your treatment results, please contact both the clinic and GetClinic support within 30 days of your treatment completion. We will work with the clinic to address your concerns, which may include revision procedures at no additional cost.

What if the clinic cancels my appointment?

If a clinic cancels your appointment for any reason, you are entitled to a full refund or the option to reschedule with the same clinic or choose an alternative provider at no extra cost.

Are deposits refundable?

Deposits are typically refundable if cancellation occurs more than 14 days before your treatment date. Within the 14-day window, deposit refundability follows the same policy as full payments.
