The standard cancellation schedule
Most patients hold their booking with €0 and pay 30% on arrival, 70% after surgery. The cancellation window applies to the deposit you put down — and to any prepaid amounts. Specific to most procedures:
Schedule above applies to most procedures. IVF cycles and multi-stage bariatric programmes have stage-specific schedules published in your individual quote.
The 14-day window in practice
The 14-day mark is when the clinic begins case-specific prep: ordering implants and grafts, blocking surgeon time, booking your hotel nights, and provisioning translators. That's why cancellations after this point can result in a small retention — not as a penalty, but to cover actual costs already incurred.
If you cancel at day 13, the typical retention is 10% of the package price. If you cancel at day 3, it's typically 15%. The exact number is in your signed quote, line-itemised by what's been prepped.
If you cancel inside 48 hours
At this point implants are typically already at the clinic, your surgical team is blocked, your hotel is paid, and your transfer car is booked. Refund policies vary: the average across our network is a 70–80% refund, with the remainder reflecting non-recoverable costs.
We strongly recommend you call your coordinator immediately if you're considering cancelling inside 48 hours — many concerns at this stage (cold feet, last-minute logistics, family pressure) can be resolved without cancelling.
What counts as a “deposit”
Most patients book with €0 and pay 30% on arrival. The €0 booking carries the same cancellation protections — your slot is reserved by us with the clinic. If you've put down a deposit (some patients prefer this), the same retention schedule applies to it. Deposits are refunded to the same payment method within 5–10 working days.
If the clinic cancels on you
Rare — under 0.4% of bookings in the past 12 months — but it happens. Most common reasons: surgeon medical leave, regulatory inspection, force-majeure events. In every case, you get:
- Full refund of any amount paid, within 5 working days.
- Re-match to an equivalent partner clinic at no cost.
- If the equivalent quote is higher, GetClinic covers the difference.
- If you choose not to rebook, an additional €250 credit toward future booking.
Medical exceptions
If you can't proceed for documented medical reasons — new diagnosis, pregnancy, hospitalisation — you receive a full refund regardless of timing. We require a brief note from your home GP or specialist confirming the reason. The clinic does not retain any prep costs in these cases; we cover them ourselves.
This policy is non-negotiable. Surgery should never feel mandatory; if your medical situation has changed, you should not be financially penalised for postponing.
